«BrainE4 is your direct line to your employees.»Since November 2024, Matthias Schupp has been CEO of Medartis in Basel – a company that supplies orthopedic and maxillofacial surgeons around the world with innovative titanium implants. After his successful tenure at Straumann, he wanted to quickly gain a solid understanding of where the workforce stood. Just a few weeks in, he already knew what was on his employees’ minds. How did he manage what every CEO dreams of?
Mr Schupp, what was the challenge you were facing?I was new at Medartis and needed to relaunch the cultural transformation journey. Many companies conduct annual employee surveys (such as Glint) to gauge employee satisfaction.That wasn’t enough for you?Exactly. The framework is quite narrow, and there’s no way to weigh topics against each other. The bar charts with scores from 0 to 100% are fine as far as they go. But that wasn’t enough for me. I wanted to feel: What’s really on people’s minds?How did you come across BrainE4 as a solution?For our Cultural Journey workshops, we brought in a coach: Ekkehard Kuppel from sum space. I need someone like Ekki —someone who challenges me and pushes me to take risks. Since he was already familiar with the benefits of BrainE4, he suggested it to me. This kind of online dialogue is still quite new. It was a risk-reward decision: I didn’t know BrainE4, but I trusted Ekki. And then we got started.What was your experience like?It was great! At first, not everyone understood the tool. It became clear that communication with employees was crucial – but it worked extremely well.

Your personal impression?It was a great personal experience, I have to say. I logged into the platform every day to see how opinions were evolving. Because just like me, the employees noticed that ideas were developing. More and more people got involved, and new suggestions and ideas kept coming in.
Even unusable ones?Only a few. Generally, serious suggestions came in, sometimes on sensitive topics. For me, that was the confirmation: people understand and believe that it’s anonymous. They feel safe in this co-creation hub. That’s essential. That showed me that the results are credible. We truly learned what was on people’s minds. The content of the results was incredibly helpful – especially for me as the new CEO.A good instrument?The executive team received a perfect thermometer.Medartis operates worldwide, from Mexico to Japan. How did that work?Everyone could participate in their own language. That worked perfectly. Participation here at the headquarters in Basel was the most intense, also in percentage terms.

How does the municipal council gather the opinions of the wider population — long before a vote takes place? Municipal President André Guyer dared to take a new approach — and succeeded.

Mr. Guyer, what was your problem?In Aesch, much revolves around hotly debated topics: a new gymnasium, the repurposing of buildings, and traffic-calmed zones. These involve significant financial commitments and long-term planning for decades ahead.We wanted to mobilize and involve as broad a segment of the electorate as possible — definitely more than the usual 100 people who attend municipal assemblies. That’s where BrainE4’s promise came in handy: to enable an «interactive population dialogue.»Less than 10% of the electorate attend municipal assemblies. How was it with BrainE4?The online dialogue was anonymous. However, we assume that with 241 participants, we reached a representative portion of the electorate of 1,050. Voter turnout in Aesch is traditionally high.

Nevertheless, both we and the team at BrainE4 were positively surprised by the active participation. Moreover, we also reached people who we would not have reached through the traditional assembly process. Over 60% of the participants in the online dialogue did not attend the information evening in the community hall. Additionally, the survey was conducted in a very structured manner. And last but not least: people clearly enjoyed it.Last year, Aesch celebrated its 900th anniversary. You also held a kind of «Landsgemeinde» then.We wanted to try something new. It was well received. We thought about how we could also conduct this lively discussion digitally. That’s where BrainE4 fit perfectly: this web app is like a «digital Landsgemeinde.»
You also use other digital solutions. Where do you see the main differences?It is truly a dialogue among the participants. I haven’t seen this anywhere else: the ability to contribute your own ideas and weigh them against each other.

How do you assess the results?There were no big surprises. But the reports provided us with more robust, reliable data than a municipal assembly or an information evening could deliver. Moreover, voices were heard that otherwise would not have spoken out loudly.

«First-class validation!»In Swiss cities, everyone wants to live and reside well. That’s why residents wish for calmer streets and shared spaces. Traffic planner Sebastian Clausen in Bern wanted to know exactly what people thought, so he invited the residents of the Wyler neighborhood to an online dialogue – and listened closely.
Mr. Clausen, you are a traffic planner in Bern. What problem were you facing?We were given the mandate by the local government to establish a large shared space zone in the Wyler neighborhood. In the past, we realized that what we were really missing in large-scale projects was the participation process. We had planned two neighborhood walks with the residents, but we also wanted to reach people digitally.How did you put that into practice?Each of the neighborhood walks had around 25 participants – in a district where roughly 2,500 people live. In contrast, 141 people joined the online dialogue. What was particularly encouraging was that the participants represented all age groups. We also have many students in the neighborhood, and they took part as well. Later, we saw that the online dialogue reflected the population distribution much better than the walks. Only 12 out of the 141 participants had also attended the walks.So, a broader foundation.Yes, it’s clear: physical participation alone is not enough. But for digital participation to work, you really have to be committed.What were your experiences with BrainE4?It was obvious that many people really enjoyed the playful approach with BrainE4. It was completely different from a traditional survey, where you lose interest the moment you even see it. The gamification aspect was very well received.

The fact that people could submit their own ideas and suggestions was very important. This way, we knew what residents wanted and what was on their minds – we truly listened.
Personally, I would like to see the developers enable map integration, so that the ideas submitted by users can also be assigned to specific locations.What surprised you?During the neighborhood walks, we identified locations and topics that concerned the residents. At the same time, the online dialogue was already running, and we immediately entered this information as ideas and opinions into the web app. This allowed those who weren’t present to comment on them as well – and we instantly received feedback from the larger group of participants. BrainE4’s ranking system confirmed the views of the smaller group. An excellent validation!Doesn’t it disappoint you that there were no real surprises?Not at all. As a planner, you need clarity and confirmation from the community. That’s extremely valuable.What was challenging?An important learning was that BrainE4 reaches its full potential when people are actively and directly approached and motivated through flyers and other initiatives. The design of the flyer must absolutely not look like advertising – it has to have an official appearance.

At the start of the online dialogue, you also provided your own hypotheses for evaluation. What was your experience with that?BrainE4 is truly innovative. We didn’t immediately see all the new possibilities the system offered. That’s why our initial hypotheses weren’t as meaningful as they could have been. In a second online dialogue, we would definitely be able to leverage its potential even better.

«We were able to defuse controversies.»Besenbüren has a population of just 667 inhabitants. But on the topic of waste, emotions ran high. Municipal Councillor Peter Ammann turned to BrainE4 to clarify outstanding issues — for the second time.
Mr. Ammann, you are a municipal councillor in Besenbüren, responsible for the “Public Utilities” portfolio. What was your challenge?It was about waste management. Our population is changing as well. Urban densification has led to many condominium owners moving in. As a result, there is a desire to change the waste management system. Specifically, door-to-door collection and drop-off systems are being weighed against each other. Any change would require an amendment to the waste regulations. That may sound a bit dry, but it really stirred up emotions here.You surely had an idea of what people wanted, didn’t you?There are a wide variety of different preferences, and waste management is already a relatively complex topic in itself. That’s why we couldn’t rely on just a few individual opinions. Initially, the idea was to launch a survey. But that would have been too limiting. So, we started looking for another solution. Fortunately, that solution was already on the table: we had already used BrainE4’s online dialogue for another topic — school facilities.

What was your experience with BrainE4 in relation to the waste management issue?In the first online dialogue, it was important to provide a clear explanation of how the tool works so that everyone could participate via smartphone, desktop, or tablet. BrainE4 is largely self-explanatory, but since this web app was new, questions still came up.What was, for you, the biggest difference compared to previous forms of participation?The playful way of dealing with opinions. Everyone can share their ideas without being immediately criticized. Twice a year, we hold our “Political Apéro,” where current topics are discussed, and we engage in direct contact with the community. But there, you have to expose yourself. With BrainE4, anonymity is guaranteed.

I see this as the biggest difference: fair participation is possible for everyone — even for those who are not present at the assembly.What challenges did you encounter?Since we learned from the first online dialogue, we didn’t face any difficulties this time.As a small municipality, financial matters must be a concern for you.Including the population was already planned in our budgeting and could therefore be commissioned through BrainE4. However, since the costs are also based on the number of participants and their activities, we had to keep a close eye on the cost ceiling.

What are the main differences between the first and second online dialogue with BrainE4?When it came to the school facilities, we achieved very good participation. We had that in the second case as well — but we found that the emotions around waste management were stronger. The dialogue was much more intense. That also surprised the BrainE4 team.
